The nomination cycle 2023/2024 will open on October 1, 2023 and close on January 31, 2024.


The nomination cycle 2023/2024 will take place online, a nomination form is therefore not required.


 


General information about the nomination procedure

  • Only members of Academia Europaea can submit a nomination. To be recognized as member of Academia Europaea, make sure that your name and email address correspond to the ones registered in the AE database (if in doubt, go to your personal AE web page).
  • Before you consider nominating a new member, please make sure that the potential nominee is not already a member of Academia Europaea (and not just your section) and has not already been nominated. To do so click on "Show nominees of all sections sorted by alphabet" on the List of nominations. This might help to save your valuable time and helps avoid confusion when multiple nominations of the same person are made.
  • You and one co-nominator have to fill out all fields marked * in the online nomination form.
  • There is no limitation of the number of nominations a nominator can make.
  • Submitting a form to the same section with exactly the same name for a candidate overwrites the previously uploaded form (i.e. later improvements are possible till the end of the nomination period).
  • An automatic notification about a successful registration of a nomination is sent to the sender, the two nominators and the chair of the relevant section. Please note: the email addresses of the nominators have to be the same as the ones registered on the AE site (have a look at your personal page and amend as necessary).
  • Nominators are free to send additional information on candidates to their section chair or the AE office (office@ae-info.org). The additional documents will be made available to the members of the nomination committee after the end of the nomination period.
  • It is the responsibility of the first nominator, to ensure that the “case for election” is fully and correctly completed. Both of the nominators must support the nomination.
  • All members can nominate candidates for membership to any section and in any field. Nominations for membership must be made by two (and only two) members of the Academia. It is important that both nominators have personal and professional knowledge of the distinction of the candidate.
  • Regarding the classification as ORDINARY or FOREIGN member the question of nationality and citizenship are irrelevant. If a candidate lives and works (principally) outside of Europe (and Israel) then they have to be considered as a Foreign candidate. Only if a candidate has a dual position and spends 6 months in Europe and six months outside, she/he can be nominated as Ordinary member.
  • Nomination of ORDINARY members
    • If the candidate is nominated as ORDINARY member, one nominator must be resident in a European country and one must be resident in a different country from that of the candidate. Nationality and citizenship of the nominators is not relevant to the process.
  • Nomination of FOREIGN members
    • Where a candidate is nominated for election as a FOREIGN member, at least one of the two nominators must hold the category of ORDINARY member. The other nominator must be resident in a different country from that of the candidate. Nationality and citizenship of the nominators is not relevant to the process.
    • FOREIGN members: If a candidate is nominated as FOREIGN member, the nominators must present clear evidence of a strong and sustained collaboration and working links with European institutions and centres of scholarship. The award of honours by European institutions and periods of residence at European centres will provide additional evidence of such links (such as substantive positions held, honorary Professorships and visiting Professorships).
  • The full list of nominees is made available to members of Section committees and to Class chairs. The list of nominees (names only) in a section is visible to all section members. Full dossiers are accessible only to all authorized persons, i.e. the nominators of a person for the dossier of that person; the members of the section committee for all dossiers of their section.
  • The nomination period will end at midnight (CET - Central European Time) on January 31, 2024.

Attention: no extensions of the deadline is possible!

Board List

This route uses the same nomination form. It is designed to capture those eminent scholars who, for whatever reason, may have been overlooked in the past, or for candidates who do not easily fit the normal criteria for membership. See also detailed criteria for a nomination on the Board list. The ‘Board list’ candidates also pass through Section committees and Classes, for their opinion and advice. The final election of the Board list candidates is a matter for the Board of Trustees, following receipt of Class chairs’ recommendations.
 


Evaluation of candidates (synopsis)

Sections are clustered into Classes: Class 1 – Humanities (Sections A1, A2, A3, A4, A6 and A7); Class 2 – Social and related Sciences (Sections A8, A9, A10, A11, A12 and A13); Class 3 – Exact Sciences (Sections B1, B2, B3, B4 and B5); Class 4 – Life Sciences (Sections C1, C2, C3, C4 and C5), each with a Class chair.

After the closing date for applications, each Section committee evaluates their own candidate lists and make recommendations on suitability for election. Each Section committee evaluates against published criteria and uses a common scoring system. Section lists are then discussed in plenary during individual Class meetings to arrive at a single consolidated class list for each Class. These are formal hearings, where the individual section lists are compared, discussed and moderated. Class lists are then submitted to Council for a formal QA and new members then elected by the Board of Trustees. All newly elected members will receive a formal invitation from the President, inviting them to accept membership and an invitation to participate in the induction ceremony at the next annual member conference.

  • Each Section Committee will assess its own candidates against a set of eligibility and professional standing criteria and score according to this scheme:
    • 1: Should be elected now;
    • 2: Strong candidate;
    • 3: Future contender;
    • 4: Not electable.
  • Each section chair will provide an assessment report for their nominations (including a ranked list of candidates) to the appropriate Class chair.
  • The Class chairs then each convene separate Class meetings, to discuss (in pleno) and moderate the individual Section candidate lists. A single, consolidated list for each Class is then agreed and submitted to the Board of Trustees for approval and subsequent election.
